Office Administrator and Executive Assistant

Location: Murrieta, CA

Centura Wealth Advisory is looking for an individual to serve in the hybrid role of Executive Assistant and Front Office Administrator,

As Executive Assistant, your primary objective will be to maximize the Managing Director’s time through efficiency while ensuring seamless coordination across all daily activities. As Front Office Administrator, you will take ownership of facility operations and company administration and assist with ad-hoc operational needs. This person will embody all things Centura as the first company representative to greet office visitors and ensure that all those visiting Centura have an exceptional experience.

This highly visible role requires a proactive, detail-oriented, and highly organized individual who can anticipate the needs of the Managing Director, manage a dynamic schedule, and prioritize and execute on multiple tasks and projects with discretion and professionalism. The ideal candidate must be based in the Inland Empire area, as the office is located in Murrieta, CA.

Roles and Responsibilities:

This position requires an individual with advanced skills in Microsoft Office Suite. Key Responsibilities:

  • Calendar & Meeting Management
    • Calendar business meetings & personal appointments for the Managing Director
    • Coordinate the Managing Director’s complex and full schedule, ensuring efficient time management
    • Greet in-office visitors by offering them a drink, checking them in and making sure that those they are meeting are notified.
  • Documentation & Reporting
    • Prepare presentations, reports, and spreadsheets with accuracy & attention to detail
  • Communication Management
    • Act as the main point of contact for the Managing Director
    • Manage email correspondence, both inbound & outbound
    • Provides 1st line of support for main calls
    • Handle phone calls & email inquiries with professionalism and discretion
  • Meeting Preparation & Follow-up
    • Ensure follow-up action items are properly captured with appropriate deadlines noted
  • Project & Task Support
    • Support strategic projects across the firm by conducting research or preparing reports
  • Travel Coordination
    • Arrange domestic & international travel – flight itineraries, accommodations, rental cars, and all other logistics to ensure seamless travel plans for the Managing Director
  • Stakeholder Liaison
    • Act as a liaison between the Managing Director and internal/external stakeholders, aiming to handle inquiries without the Managing Director’s input/involvement
  • Confidentiality & Discretion
    • Handle sensitive information with a high level of confidentiality, exercising sound judgement and integrity, all while upholding Centura’s Core Values
  • Administrative Duties:
    • Creates shipping labels as needed
    • Receives mail and appropriates scans / logs for each department need, including custody of client assets (checks), legal/compliance, and contracts (insurance), ensuring sensitive materials are shredded once properly cataloged
    • Performs other related duties as assigned

Required Qualifications:

  • Experience
    • 5+ Years of experience in an Executive support role, ideally within the financial services or a similar industry
  • Education
    • Bachelor’s degree in Business Administration, Communications, Financial Services, or a related field preferred
  • Technical Skills
    • Advanced proficiency in Microsoft Excel Suite, with particular emphasis on Excel
    • Strong working knowledge of Outlook, Word, and PowerPoint for high-quality document and presentation preparation
    • Experience using Salesforce or other CRM, preferred
    • Experience using Asana or other project management software, preferred
  • Attributes
    • Excellent interpersonal relationship skills required, as the ideal candidate will be communicating frequently with Senior Leaders and Ultra High Net Worth (UHNW) Clients
    • Strong organizational skills and meticulous attention to detail
    • Excellent written and verbal communication skills
    • Ability to manage competing demands, work independently, and handle shifting priorities
    • Ability to carry many simultaneous tasks and prioritize
    • Possess and demonstrate a growth mindset, with the desire to learn and continually improve, and to help others do the same
    • Heightened sense of urgency while maintaining quality of work
